What a Proper Dutch Invoice Must Include

The Dutch tax authority (Belastingdienst) requires every invoice to have specific fields. Missing any of these can lead to fines or rejected BTW deductions.

Your Business Details

  • KVK number - Your 8-digit Chamber of Commerce registration number
  • BTW-id - Your VAT identification number (NL + 9 digits + B + 2 digits)
  • Business name and address - Full legal name or trade name
  • IBAN - Your Dutch bank account number for receiving payment

Invoice Specifics

  • Sequential invoice number - Must be unique and in order (e.g. 2026-001, 2026-002)
  • Invoice date - The date the invoice is issued
  • Detailed descriptions - What work was done, where, and when
  • Payment terms - Due date (14 or 30 days is standard in NL)

Client Information

  • Client name - Full name or company name
  • Client address - Street, city, and postal code
  • Client VAT number - Required for B2B and cross-border invoices

BTW / VAT Breakdown

  • Subtotal - Amount before tax
  • BTW rate and amount - Show 21% or 9% rate with calculated amount
  • Total including BTW - The final amount your client pays
