The client did not understand what they were paying for, did not expect a particular charge, or cannot reconcile the total with what they remember being told. Good plumbing invoice wording eliminates that confusion before it becomes a problem.

Invoice Wording Examples for Common Plumbing Jobs

Emergency Call-Out

Vague (causes disputes):

Emergency plumbing - £240

Clear (no disputes):

Emergency call-out 07:45, 14 March. Burst pipe under kitchen sink at [address]. Isolated mains supply, cut and replaced 300mm section of 15mm copper pipe, tested for leaks, restored supply. Call-out fee: £80. Labour (1.5 hrs @ £65/hr): £97.50. Materials (copper pipe, compression fittings): £22.50. Total: £200 + VAT.

The key details: time, date, address, what was wrong, what you did, and how costs break down.

Boiler Service

Annual boiler service - Worcester Bosch 30i combi. Checked combustion analysis, flue integrity, heat exchanger, gas pressure, safety devices. Cleaned burner. All readings within manufacturer limits. Certificate issued. Labour (1 hr): €75. Replacement parts: nil. Total: €75 + BTW.

Notice this includes the boiler make and model - essential for warranty purposes and for any follow-up work.

Bathroom Renovation

Supply and installation of new shower enclosure and tray (Grohe Vitalio Start System). Works include: removal of existing shower, waterproofing substrate, installation of enclosure and waste trap, connection to existing hot/cold supplies and 40mm waste. 2 days labour @ €320/day: €640. Materials (see attached schedule): €485. Total excl. BTW: €1,125. BTW 9% on labour (renovatie woning): €57.60. BTW 21% on materials: €101.85. Total incl. BTW: €1,284.45.

This example uses the correct Dutch BTW split - 9% on labour for home renovation, 21% on materials.

Drain Clearance

High-pressure jetting of 4-inch soil stack, ground floor to manhole, [address]. Stack blocked due to scale build-up and wet wipes. Cleared and flow tested. CCTV survey not required. Labour (45 mins): £55. Call-out: £35. Total: £90 + VAT.

Wording for Payment Terms and Late Fees

Your invoice wording should always include payment terms. Here are formulations that work:

Standard residential (UK):

Payment due within 14 days of invoice date. Bank transfer to [sort code / account number] preferred. Please use invoice number as reference.

Standard residential (Netherlands):

Betaling binnen 14 dagen na factuurdatum. Graag overmaken naar IBAN [NL XX XXXX XXXX XXXX XX] o.v.v. factuurnummer.

Late payment clause (NL, legally enforceable):

Bij overschrijding van de betalingstermijn is de opdrachtgever van rechtswege in verzuim en is rente verschuldigd van 1% per maand, alsmede buitengerechtelijke incassokosten conform de Wet Incassokosten.

Warranty statement:

All parts carry manufacturer warranty. Labour warranty: 12 months from date of completion for defects directly attributable to our workmanship.
